Sending copies of DBS disclosure forms to Employee Services

From Monday 24 September 2018, schools will no longer have to send in the top third of an employee's DBS disclosure for their personnel file held within Employee Services.

Due to the new General Data Protection Rules (GDPR) which came into force May 2018, Employee Services have reviewed what pre-employment documents are required to be kept on an employee's personnel file.

If has been agreed that Employee Services will no longer require a copy of the top third of an employee's DBS disclosure form. Instead, once an employee has received their DBS disclosure, the school will only be required to update their single central record (SCR) as Employee Services will now be able to obtain an employee's disclosure number and issue date through the online eDBS service.

Despite the 'top third of the certificate only' instruction being in place for a number of years, Employee Services are still regularly provided with full certificates, either as scanned documents or in the post. Please note that we have been advised that, from now on, any full DBS disclosures sent to Employee Services should be reported by us as a data breach and Information Governance may then contact the school concerned.
