Changes to Property Team and Services to Schools Delivery

Please see below for an update on changes to the structure in Property and improvements to the delivery of Services to Schools.

Contracts Team – BC02, BC04, GM02, SC01, SP01 and WR01

From 2nd July 2018 you will be receiving your contracts advice from the new Orbis Contracts Team who will be able to provide a more robust management service right across all soft FM and Catering contracts. The key change to the structure for schools will be the creation of Senior Contracts Officers for areas of specialism in Facilities Management, Grounds & Arboriculture and Catering.

As part of this new joint service between East Sussex and Surrey County Council, we are currently undertaking a tendering exercise across all soft FM contracts including cleaning, grounds and waste management. Once we have the details around these new contracts, which should be by November 2018 you will be notified both by letter and via the Bursar Forums.

The new Orbis Contracts Team  are pleased to announce the introduction of an in house Arboricultural specialist. This will allow a much greater synergy with the Health & Safety Team and other in house colleagues to look at the future delivery of tree inspections and support packages for schools. There will be more details about this service in the October Bursar Forums.

Maintenance Team - BM01 service

As part of the new joint Orbis Property Service between East Sussex and Surrey County Councils (see link below for details) the BM01 team that deliver your service is changing

To improve the collation of condition data at ESCC schools, this service is being brought in-house to be undertaken by a new “Building Repairs and Condition Surveys Team”.  This team will also provide the BM01 service and will mean that your BM01 team will change as follows:

  • Where your school is covered by the BM01 service.  Use the contact numbers referenced above and your request will be allocated to the most appropriate Repairs & Condition team member who will respond to your request.
  • We will confirm new contact arrangements for your new Repairs & Condition team contacts over the coming weeks.
  • All local authority maintained schools will get a condition survey by the new “Repairs & Condition team”. Where the school is covered by BM01 services, this will be undertaken along with one of the BM01 two scheduled property advice and compliance visits.
  • Your planned maintenance needs will be identified through the new in-house condition team.  The projects agreed to be undertaken will be managed by an Orbis officer who will be allocated to your project.

To improve the way schools access ESCC for any property building and site  issues we are going to provide you with a single property number for the Property Help Desk 01273 482626 or you can email Property.HelpDesk@eastsussex.gov.uk.  They will answer your query, put you in contact with the BM01 team person where you are covered by that service, or for other property related queries put you in contact with the team that can help you.

From the 1st of July please use the new number for property helpdesk on 01273 482626 for all your property queries. The old contact number and e mail addresses will be redirected and contact details on the web shop and Intranet will be updated.
